Director of Event Management

Job Description:

The Director of Event Mangement should be an experienced Manager with a keen eye for detail, quality management, and multiple-team member coordination. The Director of Event Mangement will report to the Director of Operations and be a key contact for the Event Mangement team and clients.

Job Responsibilities:

  • Passkey Super User and able to train others on Passkey
  • Manage the Event Mangement team
  • Develop annual team goals for the Event Mangement department
  • Develop individual goals for staff that foster professional development for Senior Event Managers and Event Managers
  • Conduct regular one-on-one meetings with subordinates to ensure tasks are on track
  • Conduct performance reviews for all Event Management staff in tandem with Senior Event Manager
  • Maintain, review, approve and track timelines for department staff
  • Develop tracking and Q/A procedures for all phases of the Event Management process
  • Determine lessons learned for Event Manager cross-training and continues department improvement
  • Act as a Passkey Liaison by conducting monthly calls and maintaining an improvement log
  • Maintain and develop standard operating procedures for the Event Management Department while fostering cohesiveness with other operations departments
  • Develop and maintain a training schedule for the department based on Passkey updates, lessons learned and EventSphere process improvement
  • Review inventory across all events ensuring that staff maintains no less than 10% available inventory
  • Maintain client satisfaction and serve as a point of escalation for opportunities that arise including but not limited to onsite travel and direct client calls
  • Review and approve expenses of assigned event teams, including on-site as well as any Event Coordinators working event ensuring overall company budgets are maintained
  • Participate in meetings with Senior staff members for the development of updated policies as needed
  • Maintain the event schedule and lead/approve staffing assignments
  • Maintain Project log and serve as the liaison between EventSphere and various vendors
  • Maintain Project log and various documents for resource allocation and tracking

Job Requirements:

  • Bachelor’s Degree
  • Minimum 5 years in housing/reservations industry
  • Passkey Super User
  • Event Mangement experience required
  • Hotel Contracting experience required
  • Ability to manage multiple Event Managers and Events
  • Frequent travel is required
  • Extreme attention to detail
  • Excellent customer service skills
  • Ability to work in a cross-functional work environment
  • Excellent verbal and written communications skills
  • Above average time management skills and organizational skills
  • Outstanding follow-up abilities
  • Able to work with minimal direction
  • Training experience is required
  • People-management experience required
  • Outstanding ability to meet deadlines
